Knowledge · Prompt craft

The anatomy of a great event-planning prompt.

A great prompt behaves like a great brief. Vague briefs give you vague venues. Vague prompts give you vague plans. UK event planners get the sharpest AI output when they include four things every time — context, task, constraint and voice.

1. Context — tell it what you already know

Attach or paste the real files: last year’s registration CSV, budget, brief, feedback. Say who the audience is, how big, what sector. Skip this and the AI invents plausible-but-wrong numbers.

2. Task — one sharp verb, one output

Not "help me with sponsors" — "draft a 10-slide sponsor deck outline". Not "improve our marketing" — "give me 7 subject lines for a mid-market UK audience with a paid £299 ticket".

3. Constraints — ranges over false precision

Say "low / expected / high" for anything cost or lead-time. Cap word count. Specify tone (British, professional, warm). Constraints are what stops the AI drifting into generic hype.

4. Voice — model, don’t ask

Give it one example paragraph of your existing tone-of-voice. The AI mirrors patterns better than it follows instructions. Two sentences of your real copy is worth two paragraphs of tone guidelines.

AI-Powered Event Strategist

Turn your scattered event data — past attendees, feedback, budgets, sponsors — into an AI-powered strategist that plans the next event from the last one.

Not the DIY type?

Send us your brief

Organise last year’s event data into a clean brief

You are my event strategist. Read the attached files (registration list, feedback, session ratings, budget, sponsor list) and produce:

1. One-paragraph executive summary of what worked and what didn’t.
2. A ranked list of the top 5 sessions by combined attendance × feedback score.
3. A ranked list of the bottom 5 with a probable reason for each.
4. Attendee persona clusters — 3–5 personas with size, seniority, seed of insight.
5. Three concrete strategic bets for next year, each with cost band, risk and expected impact.

Format as a one-page brief I can share with the leadership team. British English. Ranges over false precision.

Build a living event wiki agents can query

Read every file in this project and build a structured wiki with these top-level sections:
- Objectives & KPIs
- Personas & audiences
- Programme structure & session formats
- Speakers (bios, topics, past ratings)
- Venue & suppliers (with contact leads)
- Budget & commercials
- Marketing calendar
- Risk register

For each section, include a short summary + a bulleted list of source files it draws from. Flag any section where evidence is thin so I know where to invest before the next planning cycle.

Design a team of 4 specialist agents

Design four specialist AI agents for my event team. For each agent, define:
- Name and one-line remit
- Inputs it needs from the wiki
- Outputs it produces
- Handoff points to human team members
- One example prompt I would give it

The four agents:
1. Content Strategist — programme design, session flow, speaker matching.
2. Marketing Copywriter — landing pages, comms, social, retention.
3. Sponsor Concierge — packages, prospect list, outreach copy.
4. Delegate Success — pre-event, on-site nudges, post-event follow-up.

Keep answers concrete enough for me to spin each agent up as a Claude Project today.

Knowledge · Tool choice

Which AI for which task.

Not every model is right for every job. Here's how UK event planners pick — as of September 2026. Ranges over false precision; we update this quarterly.

Knowledge · What breaks

Five mistakes UK event planners make with AI.

Every mistake below cost someone a booking, a delegate, or a sponsor last year. All five are avoidable in about ten minutes.

Trusting the AI on live venue availability

AI trained six months ago cannot know that the Guildhall is booked for December 12th. Use AI to shape the brief; use humans to confirm availability.

Copy-pasting American tone into UK comms

Default ChatGPT tone is Silicon Valley. UK B2B delegates read "supercharge your team" and quietly delete. Give it two paragraphs of your real voice before you ask it to write.

Leaking guest lists to public models

Pasting a partner-dinner attendee list into a consumer chatbot is a GDPR incident. Use enterprise plans with data-retention off, or anonymise before you paste.

Believing invented statistics

"73% of event planners…" — usually made up. Ask "cite the source". If it cannot, treat the number as an illustration, not evidence.

Skipping the brief because AI drafts fast

The best AI output starts from the sharpest human brief. Ten minutes writing a great brief saves two hours re-prompting.

Updated September 2026

What's new in AI for events, 2026.

Three shifts have changed the calculus for corporate event teams this year. Here's what actually matters — and what to ignore.

Model simplification

One model, three modes

GPT-5 and Claude Sonnet ship with Instant / Thinking / Pro modes. Pick Instant for subject lines, Thinking for budgets, Pro for the whole 8-week comms plan.

Projects & workspaces

From chats to a shared workspace

Claude Projects and ChatGPT Shared Projects hold the brief, budget, personas and runsheet in one place. Every team member briefs the same AI, every asset stays on-brand.

Agentic mode

AI that runs while you sleep

Scheduled tasks and background research briefs are here. Set a Friday afternoon task to summarise the week’s registration pipeline — get a decision-ready briefing every Monday.
